Student Run Coffee Shops: Collaboration, Advertisement, and Event Policies

Prioritizing Collaboration

The Student Run Coffee Shops are committed to fostering innovative environments where the campus community can engage with and develop the cafés in new and exciting ways. Inviting the campus to participate in the full utilization of our cafes is important to us.

All forms of collaboration, promotional materials, or event partnerships must align with our core mission and values and be approved by the Assistant Director for Business Operations and Student Retail, and by the General Manager of the designated coffee shop location.

    Event Partnerships

    Available to: Registered Student Organizations (RSO) and University Departments (Dept).

    Cost: Event Partnerships come at no cost to the RSO or Dept, unless said RSO/Dept wants to purchase food or beverage for their event. Food and Beverage vouchers are available for purchase. Vouchers will be sold at their maximum value ($6). There is no limit to the amount of vouchers purchased, but all vouchers purchased for a specific event will expire upon the event’s conclusion. 

    Additionally, any equipment costs will be charged to the RSO or Dept. AV equipment can be rented for the duration of the event through the Student Centers. 

    Content: Since the Student-Run Coffee Shops will remain open during the duration of event partnerships, all events must fall into alignment with the University’s general policies and specific policies on Political Campaign Activity. Student Centers reserves the right to reject any event proposal that does not fall into alignment with these policies. The Student Centers also reserves the right to end events before their scheduled end times if they violate these policies. By entering in a partnership with the Student-Run Coffee Shops, RSOs and Depts agree to adhere to all University policies regarding political and social action. Failure to comply with these policies can result in early event ending, cancellation of future events, and revocation of future partnerships.

    Promotional Materials: All promotional materials for events in partnership with the Student-Run Coffee Shops must be approved by Student Centers. Failure to get materials approved can result in event cancellation. 

    Posting Policy

    Advertisements in the coffee shops that do not explicitly involve the Point of Sale should follow the regular building posting guidelines for the building in which they are located.  Any posters should be placed on appropriate posting boards, not on coffee shop walls, pillars, tables, or counters.  Groups should reference the university posting policy for other related policies and guidelines.

    Submitting a Request

    To submit a request, please fill out THIS form and submit it to the Assistant Director of Business Operations and Student Retail (mcwattersp21@uchicago.edu).

    Please note-all forms submitted less than two weeks before the event’s proposed date will be automatically rejected.
