Event Services

The Student Centers staff will help support you through every step of your event, from reserving the perfect space, to planning all aspects of the event, to day of execution.

Here is a list of some of the services we offer:

Furniture & Setup Advising

The Student Centers maintain our own inventory of furniture free of charge to clients. As this inventory is limited, furniture is reserved on a first-come, first-served basis. Please make furniture and setup requests at least 3 weeks prior to your event. Additional fees will apply for furniture rentals outside our available inventory.

Audio/Visual Equipment

Groups may choose to reserve audio/visual equipment for their event. Please make AV requests at least 3 weeks prior to your event. Our available in-house equipment includes:

  • Portable and Fixed LCD Projectors & Screens
  • Portable Bluetooth Speaker with Microphone
  • Event Sound Systems with up to (3) wired microphones
  • Dance Floor (Reynolds Club)
  • A Flat-Screen TV (Reynolds Club)

Please note:  An A/V Technician is required when reserving some A/V equipment. 

Accessibility Resources Advising

To ensure the intellectual richness of research and education, the University of Chicago seeks to provide an environment conducive to learning, teaching, working, and conducting research that values the diversity of its community. The University strives to be supportive of the academic, personal and work-related needs of each individual and is committed to facilitating the full participation of students with a disability in the life of the University.

Organizations can work with Student Centers staff to provide resources, support and accommodations for all guests with disabilities and work to remove physical and attitudinal barriers, which may prevent their full participation in the University. There are a number of resources available including a guide to Communicating with Individuals with Disabilities, and Student Disability Services. Work with our event planning staff to help create an inclusive space for all.

Recommended Caterers

We require our clients to make all their catering arrangements from a licensed and insured food service provider. We are pleased to provide you with our current Recommended Caterers list that includes several vendors who can offer a wide array of options.

Please note: All caterers will be held responsible for following the catering guidelines. All caterers must provide a certificate of insurance showing proof of: (1) General liability insurance in the amount of $1,000,000 and (2) Worker’s compensation coverage (general liability coverage of caterers who provide and/or serve alcoholic beverages should indicate that alcoholic beverages are included in the coverage).

Groups intending to serve alcohol must additionally submit an Alcohol Request Form. Please see our Alcohol Request Form for RSOs and Alcohol Request Form for Departments for more details.

Recommended Rental Vendors

The Student Centers staff has made connections with a number of vendors who provide rental equipment to help make your event a success. When renting items from these vendors additional charges will apply.
